Information about the use of your personal data and your rights

General

Edelman B.V. (“Edelman”) collects personal data from (employees of) our customers, business contacts, and visitors to our websites in the course of providing our services. Edelman processes your data with due care, in accordance with all applicable laws and regulations. This privacy policy explains what data we collect, how we use it, and how you can object to the processing of your personal data. This privacy policy may be updated from time to time. Edelman collects and processes data in the following ways:

  • Information you provide to us, such as name, address, telephone number, and email address (yours or that of your employees); and
  • Information obtained through the use of our services and your visits to our websites, including name, address, email address, and IBAN number. We may also process your preferences for certain products and services.

Purpose and use

Services: Edelman processes your personal data to provide our services to you. For example, we use the data to issue invoices or maintain our relationship with you. We also use your data to respond to information requests or to assess your application.

Engaging third parties: Edelman may engage third parties to deliver (part of) our services to you. If these parties require access to personal data to carry out their tasks, Edelman will ensure appropriate contractual and organisational measures are in place to ensure your data is processed only for the purposes specified in this privacy policy and in accordance with all applicable laws and regulations.

Marketing and sales activities: We may wish to offer you products or services (even after the end of a business relationship) by telephone, email, or post, unless you object to this.

Processing on Edelman websites: We collect and use your personal data on our websites primarily to provide our (web) services and to communicate with you. Your data may also be used for research and analysis to improve our services and websites. With your permission, we may use your data to send you information via email about other Edelman services.

Cookies

Edelman uses various technologies, including cookies, to collect and store information when you visit an Edelman website. Cookies help us improve our websites and serve users more effectively. They are simple text files stored on your computer, tablet, or smartphone by your browser.

Cookies do not contain identifying data and are used only to enhance the usability of our website. If you do not wish to accept cookies, you can block them via your browser settings. Most parts of the website will still be accessible.

Edelman uses several types of cookies:

  • Cookies that make the website more user-friendly by tracking visitor behaviour and storing certain preferences;
  • Cookies that collect statistical information about website usage via Google Analytics;
  • Cookies that allow content to be shared via social media platforms such as LinkedIn, Twitter, or Facebook. These cookies are set by third parties, and their use is governed by the respective privacy policies of those platforms. Edelman does not place tracking cookies but third parties may do so when social media buttons are used.

Organisational and technical security measures

At Edelman, we always comply with the principles of data processing under the GDPR, where and to the extent we process personal data. This means:

  • We minimise the collection and use of personal data. We do not process more data than necessary and aim to use data that cannot be linked to identifiable individuals. Personal data is never stored longer than needed.
  • We take appropriate technical and organisational security measures to protect all personal data against loss or unauthorised access, in line with applicable security standards.
  • We only use personal data for the purpose it was provided (e.g. to deliver services).
  • We process personal data only where there is a legal basis to do so, and in line with our customers’ instructions.
  • The more sensitive the data, the less we process it.
  • If, despite our measures, a data breach occurs that may negatively impact your privacy, we will inform you as soon as possible and explain the steps taken to limit the consequences and prevent recurrence.

We will not share your personal data with parties outside Edelman unless one of the following applies:

  • With your explicit consent, which you may withdraw at any time;
  • For processing by third parties, under our instructions, in accordance with this privacy policy, and with appropriate confidentiality and security agreements in place;
  • For legal reasons, such as compliance with applicable laws, court orders, fraud prevention, technical troubleshooting, or to protect the safety and property of Edelman, our users, or the public, where permitted by law.

We may share aggregated, non-personally identifiable data with partners (such as advertisers or the public) to show trends in the use of our services.

If Edelman is involved in a merger, acquisition, or asset sale, we will maintain the confidentiality of all personal data and notify those affected before the data is transferred or becomes subject to a different privacy policy.

Your rights regarding your personal data

You may object to the use of your personal data if it is being processed for purposes other than providing services or complying with legal obligations. You may also withdraw previously given consent.

You have the right to access the personal data we process about you. This means you can request information about what personal data we hold and for what purpose it is being used.

If you believe we hold incorrect data, you may request corrections. You may also request restriction of processing, including during the time needed to assess your objection or request.

You may request that we delete your personal data from our systems or transfer it to another party.

We will comply with your request unless we have a compelling legitimate interest that overrides your privacy interest. After deletion, we may not be able to immediately remove all copies from active backup systems. We may refuse requests that are unreasonably repetitive, require disproportionate effort, jeopardise others’ privacy, or are impractical.
